Caravanverhuurspanje — rental platform live in 4 weeks

A Dutch rental company on the Costa Brava with 12 caravans and 4 static caravans. Bookings came in via Booking, Airbnb, their own site and WhatsApp — three double bookings a month, half a day of admin per week. One integrated platform later: zero double bookings since launch.

// the problem

Five tools that didn't talk to each other.

Excel for the planning, Booking + Airbnb for channels, WhatsApp for customer contact, a separate invoicing tool, and a 'Contracts 2024' folder on Google Drive. Works — until it doesn't.

01

Three double bookings a month

A guest books on Booking, while a family member reserves the same caravan for the same weekend over WhatsApp. Friday-night crisis.

02

Half a day of admin per week

Booking → invoice → contract → calendar → accounting. Retyping the same data four times, each time with a typo risk.

03

No overview

Who has paid? Which deposit needs to go back? What's empty next weekend? The answer lived in four different tools.

// what we built

One platform with four roles.

Public booking platform for customers, admin for the team, channel sync to Booking and Airbnb, automatic invoicing to the accounting. Four weeks fixed price.

  • Public booking platform with customer login (NL + ES)
  • Admin with live bookings overview and multi-location
  • Channel sync (Booking + Airbnb + iCal)
  • Stripe/Mollie checkout + automatic invoices
  • Deposit flow with automatic refund after inspection
  • Hosting + monitoring + monthly maintenance

// how a panel start goes

Four weeks to live, then ongoing.

No quotes for additions, no extra-hours arguments. One monthly number that covers everything — build, hosting and continued development.

    week 1

    Intro + scope

    One 60-min call, then a written scope with one number. Sign-off = we start.

    week 2

    Build

    The stack is already in place. Your brand, content and integrations go on. First live preview at the end of the week.

    week 3

    Review + iterations

    You click around, I tighten things up. Three review cycles baked in — no extra cost.

    week 4

    Launch

    We point your domain over, monitoring on, first month of maintenance free. Done.

// the result

Three months later, zero double bookings.

Since launch in 2024: 1,200 bookings processed, zero double reservations, half a day saved per week. The platform keeps growing — adding a new holiday home takes five minutes.

Before working with Webstability, I had three double bookings a month. Since launching in 2024 — literally zero. And I save at least half a day a week on admin.
