Property maintenance: from report to owner approval

4 min readUpdated on

A resident wants the problem solved. The owner wants to know which costs they are approving. The supplier needs an appointment they can carry out. Record those different roles and decisions with one property, so work doesn’t start on the strength of a vague ‘fine’ in a chat. This is part of the Property panel (+ Business panel, €40 per panel per month). See the panels.

Set up the property and the relations

Add the owner, the residents involved and possible suppliers, each with their correct role. Link them to the property. One person can have several roles, but the record must still show on whose behalf someone makes a decision.

Then create the maintenance report for the right property. A new record is not owner approval. See the property route for the full chain and use the customer history to find earlier work.

Assess urgency and estimate

Read what the resident reported and decide the urgency, the responsibility and the cost estimate. A description like ‘leak’ can have several causes; note what has already been checked and who takes the next step.

Record the estimate in the record. In an approval route, wait for the right decision from the linked owner. An urgent status is an attention point for your team and does not by itself give permission to run up unchecked costs. Agree your availability and emergency procedure outside the app.

Keep approval you can prove

An owner or manager of your business records the approval of the right property owner. Record the approved amount and the evidence reference. That can point to the email you received or a signed agreement, according to your own filing procedure.

The current route records the approval; it does not ask the owner for a digital signature by itself. If the costs change later, record the new approval for the extra work. Don’t quietly change an estimate as if the new amount had already been approved.

Schedule the supplier and access

Choose a supplier linked to the property and schedule the visit. Check the resident, the access arrangement and how long it is valid. An overlap for the same supplier blocks the appointment. Choose a suitable new time slot and agree it with everyone involved.

Don’t store door codes, passwords or access keys in free notes. Record the agreed access procedure and a reference. A visit appointment can create a customer message; check the recipient and the content before your business allows sending.

Check proof of work and costs

Record what was actually done, where the evidence can be found and which actual costs were incurred. The app does not let you finish the work above the recorded approval. First ask for the approval needed for extra work if the amount is too low.

When closing, check costs, evidence and feedback. A message draft that is ready does not prove that the resident received the update. Klantupdates (Messages to customers) distinguishes a draft, sending in progress and acceptance by the mail server. Even then, delivery is not confirmed.

  • Check the property and owner before recording approval.
  • Check the supplier, time slot and access before the visit.
  • Check evidence, costs and the current recipient before closing.

Recover changes without losing the approval

When you see a message that the record has changed, read the current version first. Check which approval still applies before you save again. A wrong supplier needs the property relation fixed; a budget that is too low needs a new approval. A second record only makes that check harder.

This route does not replace rent administration, full accounts for an owners’ association or automatic door control. Start with one maintenance report and assess which extra connection you really need. During your trial, keep track of the questions and recovery steps colleagues still had to work out.

Ask Laurens

The owner or manager of your business records the approval with the right property owner and evidence reference. A role that only carries out work cannot do that.

First record the matching higher approval. The actual costs cannot be finished above the existing approved budget.

The current route keeps the relations and the recorded approval. A separate owner portal or signing provider would be a separate extension.
