Plan and complete a work order: from appointment to report

5 min readUpdated on

An appointment is only useful when the person doing the job can also find the request and earlier details. This route keeps the work order, the scheduled time and the report together. Start with a practice run, then enter one real job. You don’t need to change the job status separately after scheduling or finishing. This is part of the Service and maintenance panel (+ Business panel, €40 per panel per month). See the panels.

Get the right details ready

First check who the customer is, what needs doing and which vehicle, building or other object it concerns. Use a recognisable description. ‘Maintenance’ is less useful than ‘Check brakes after squealing noise’. Look for an existing customer or work order before you create another record.

Choose who can carry out the work. The date and time slot are an appointment, not proof that the work has been done. Keep a promise about payment separate from progress. The work orders page shows which details you find with a job.

  • In a practice run, Oefenklant (practice customer) and OEFENING (PRACTICE) are visible on the work order.
  • A viewer can read the route; an authorised colleague changes the appointment or the report.
  • Schedule one concrete job before you fill a whole week.

Choose the work order and save the appointment

Open Vandaag (Today), choose the work order and go to Plannen (Plan). Check that the customer and description still belong to this appointment. Fill in the date, start and end time and the team member. Save the appointment once and wait for the saved result.

The appointment and the status Ingepland (Scheduled) are processed together. If it overlaps for the same team member, choose another time slot or another colleague. A message about changed details means someone has edited the record in the meantime. Read that change first before you schedule again.

  • An empty date removes the appointment; the work order is open for scheduling again.
  • The saved appointment leads back to carrying out the same work order.
  • See scheduling if you want to check several appointments.

Write a report while you do the work

Open the scheduled work order from Vandaag (Today). Read the request and the appointment, do the work and describe what was actually done. Also note what has not been solved yet. Minutes and materials are records on the work order; a material line does not deduct any stock at the moment.

Save a draft if you are not finished yet. That keeps the job open and brings you back to the same record. A colleague can then carry on later without a new work order or a separate message telling the same story.

Have extra work assessed first

If you discover extra work during the job, open Meerwerk (Extra work) on the same work order. The owner or manager describes the work, the price and the expected time and creates a personal approval link. Publishing does not send an email. The customer reviews the version shown; a preferred time is not yet an appointment.

After approval, the owner or manager adds the extra work to the real schedule and the draft report. The person doing the job checks the added task once it is done. Open extra work, or an approval that has not been processed, blocks finishing. The guide to extra work and customer approval (in Dutch) describes sharing, deciding and recovering.

Check and finish the work

Check the work and tick off the relevant checks. The last check is about the customer message and the follow-up: a draft that is ready does not mean the customer has been told. Then finish the report and the work order together. The work stays available in the record.

Next, open Klantbeeld (Customer view) and read what the customer actually gets to see. Check any message under Klantupdates (Messages to customers). There you see the recipient and the current appointment. Only an owner or manager can allow sending. A message accepted by the mail server is not yet a confirmed delivery.

What is proven after each step?
StepActual result
Appointment savedSchedule and job status both saved
Draft reportText saved, job still open
FinishReport and work order closed
Message draftNo email sent yet

Recover without creating the same job twice

If the connection fails, your input stays on the open page. Check the work order before you try again. Is the action still being recovered? Repeat the same action with the same input; don’t create a second work order in the meantime. The app recognises a repeated command within the same attempt.

If a finished work order turns out not to be done after all, reopen it deliberately via the status. Read the existing report and plan the follow-up. Only make a new appointment after checking the latest version. For your first real job, note the time spent searching, the questions you needed help with and any recovery work. That is a baseline of your own work, not a promised saving.

Saving the appointment sets the work order to Ingepland (Scheduled) at the same time. The status button takes you to the right scheduling step.

First describe the work and complete the checklist. Save a draft if you are still missing details or checks.

An open proposal or an unprocessed approval first needs a decision or processing. After processing, the added task must also be checked in the report.

The labelled practice work order has no customer email address or phone number and creates no customer message that can be sent. Use that route for practising, not a real customer record.
